1. Who is responsible for your data

The data controller for www.boe-therm.com and the TCU configurator at www.boe-therm.com/configurator is:

Boe-Therm A/S
Industrivænget 1
5610 Assens, Denmark
CVR no. 20665882
Email: info@boe-therm.dk
Phone: +45 64 71 23 75

Write to us at the address above for any question about this policy or about how we handle your personal data.

2. The data we collect and why

2.1 Contact forms

When you send an enquiry through a contact form, we receive your name, company, email address, country, your message and, if you enter it, your phone number. We use the data to answer your enquiry, to specify and quote a unit for your process and to follow up on that enquiry.

Legal basis: steps taken at your request before entering into a contract (GDPR Art. 6(1)(b)) and our legitimate interest in answering business enquiries (Art. 6(1)(f)).

To keep automated spam out of our forms, Cloudflare Turnstile checks that a form is submitted by a person. Turnstile processes technical data such as your IP address and browser characteristics for this check. Legal basis: our legitimate interest in protecting the forms (Art. 6(1)(f)).

2.2 Newsletter

If you sign up for our newsletter, we use your email address to send it to you. Legal basis: your consent (Art. 6(1)(a)). You can unsubscribe at any time by writing to info@boe-therm.dk, and we then stop sending the newsletter and delete your address from the list.

2.3 TCU configurator

In the configurator you describe your process, for example medium, temperature range, heating and cooling load and flow. We use these process data to calculate a recommended configuration. If you request a quote or ask us to contact you, we also receive the contact details you enter, such as name, company, email address and phone number.

We use the data to prepare your recommendation and quote and to follow up on your request. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b)) and our legitimate interest in handling business enquiries (Art. 6(1)(f)).

If your company is located in a country where an authorised Boe-Therm distributor handles sales and service, we may pass your request to that distributor so they can quote and support you locally. The distributor then processes your data as an independent controller under its own privacy policy.

2.4 Email and phone

When you email or call us, we process your contact details and the content of the enquiry to handle it and, where relevant, to prepare and fulfil an order. Legal basis: Art. 6(1)(b) and Art. 6(1)(f).

2.5 Technical data when you visit the site

When you load a page, your browser sends technical data such as IP address, browser type, device type, the page requested and the time of the request. The hosting and delivery providers listed in section 4 process these data to deliver the site, keep it secure and fix errors. Legal basis: our legitimate interest in operating a secure website (Art. 6(1)(f)).

2.6 Analytics and marketing (only with your consent)

If you accept analytics or marketing cookies in the cookie banner, we use the tools described in section 3 to understand how the site is used, to measure the effect of our advertising and to see which companies visit the site. Legal basis: your consent (Art. 6(1)(a) and the Danish Executive Order on cookies). You can withdraw your consent at any time, see section 3.

3. Cookies and similar technologies

Cookies are small text files stored in your browser. Some of the tools below use comparable technologies such as local storage or tracking scripts. We group them into four categories. Only essential technologies are active when you first visit the site. All other categories stay switched off until you accept them.

3.1 Your choices

You choose in the cookie banner when you first visit the site. You can change or withdraw your choice at any time with the cookie settings button in the lower left corner of the page. In the configurator, use the cookie button on the configurator page. Withdrawing consent does not affect processing that took place before you withdrew it. You can also delete cookies in your browser settings.

3.2 Essential

Required for the site to work. These cannot be switched off.

  • Consent Pro (Finsweet): stores your cookie choice so the banner does not appear on every page.
  • Weglot: serves the German version of the site and stores translations in your browser to load pages faster.
  • Cloudflare Turnstile: protects our forms against spam, see section 2.1.
  • Configurator session: the configurator stores your cookie choice in your browser.

3.3 Analytics

  • Google Analytics 4 (Google Ireland Ltd.): statistics on visits, pages viewed, traffic sources and interactions such as form submissions and link clicks. Cookies: _ga and _ga_* (up to 2 years).

3.4 Marketing

  • Google Ads (Google Ireland Ltd.): measures whether a visit that started with one of our ads leads to an enquiry. When you submit a form after accepting marketing cookies, a hashed version of your email address may be sent to Google to match the conversion. Cookies: _gcl_au and related _gcl cookies (up to 90 days).
  • Leadinfo (Leadinfo B.V., the Netherlands): identifies the company behind a visit from the IP address, so our sales team can see which companies show interest in which products. Storage: _li_id and _li_ses in your browser.
  • Snitcher (Snitcher B.V., the Netherlands): identifies the company behind a visit from the IP address, for the same purpose as Leadinfo.
  • Trailhub (Denmark): call tracking. Links incoming phone calls to the website visit that led to the call.
  • OpenAI measurement pixel (configurator only): measures whether a visit that started with one of our ads in ChatGPT leads to an enquiry.

3.5 Personalisation

We do not currently use personalisation tools. The category is kept in the banner so we can ask for your consent before we add any.

3.6 Embedded video and other third-party content

The site does not currently embed videos or other content from third-party platforms. If we add embedded videos, for example from YouTube or Vimeo, they load only after you accept the relevant cookie category, and we will update this policy first.

3.7 Fonts and code libraries

To display the site, your browser loads fonts from Google Fonts and code libraries from content delivery networks (Google Hosted Libraries, jsDelivr, cdnjs by Cloudflare and Webflow's own network). When these files load, the provider receives your IP address. The providers do not set cookies for this purpose.

4. Who receives your data

We share personal data with the following providers, which process it on our behalf, and with the recipients described in section 2.3:

  • Webflow, Inc. (website and configurator hosting, form storage)
  • Finsweet (cookie consent)
  • Weglot SAS (translation)
  • Cloudflare, Inc. (spam protection and file delivery)
  • Google Ireland Ltd. and Google LLC (analytics, advertising, fonts, file delivery)
  • Leadinfo B.V. and Snitcher B.V. (company identification)
  • Trailhub (call tracking)
  • OpenAI (advertising measurement, configurator only)

We do not sell personal data.

5. Transfers outside the EU/EEA

Some providers, including Webflow, Google, Cloudflare and OpenAI, are based in or use servers in the United States. Where data is transferred to the United States, the transfer is based on the EU-U.S. Data Privacy Framework if the provider is certified under it, or otherwise on the European Commission's standard contractual clauses.

6. How long we keep your data

  • Enquiries that do not lead to an order: deleted no later than 24 months after our last contact with you.
  • Customer and order data: kept for as long as the customer relationship lasts and for 5 years after the end of the financial year, as required by the Danish Bookkeeping Act.
  • Newsletter: until you unsubscribe.
  • Cookies and similar technologies: for the periods stated in section 3, or until you withdraw consent or delete them.

7. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you
  • have incorrect data corrected
  • have your data erased
  • have processing restricted
  • object to processing based on our legitimate interest
  • receive data you have given us in a structured, machine-readable format (data portability)
  • withdraw consent at any time, with effect from that moment

To use your rights, write to info@boe-therm.dk. We answer within one month.

You can also file a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, www.datatilsynet.dk. If you live in another EU country, you can contact the supervisory authority there.

8. Automated decisions

The configurator calculates a recommended configuration from the process data you enter. We do not make decisions based solely on automated processing that have legal or similarly significant effects for you.

9. Changes to this policy

We update this policy when we change how we process personal data or add new tools to the site. The date at the top shows the latest version.
